Quantity

Make sure to include the number of each item you wish to order.

Price

Total Item Cost

The total for an item will depend on the quantity you’re ordering, so make sure to note this cost total in its own column.

Notes

VAT

Grand Total

Payment Method

How Do You Make an Interior Design Purchase Order?

Step 1. Start With the Proposal

Your proposal is a great starting point for creating your purchase order. There, you’ll be easily able to view the product price and details you’ve already researched to add to your PO. Keep in mind that the price you provided in your proposal was an estimate, so the final price may differ in your purchase order and this is OK. The proposal is a flexible document while the purchase order is not. In the proposal phase, a good tip is to collect as much money as possible from your client upfront so you’re better protected when placing the final POs. 

Step 2. Gather Supplier Contact Information

If you regularly use certain suppliers for your business, make sure to keep their contact information and addresses on hand in your supplier database. Mark them as your favourites or set aside your top s for easier accessibility and to save you time. Refer back to the previous section for all the supplier information to include. 

Step 3. Provide as Many Details as Possible

Being descriptive and detailed in your interior design purchase orders benefits both you and your supplier, providing better communication to make everything as clear as possible and for keeping thorough records for your project. 

Step 4. Add Additional Notes for Your Supplier

In the notes section of your PO, include any other memos to your supplier such as making sure fragile items are shipped accordingly, no weekend delivery, etc.

Just like with your clients, it’s important to keep your suppliers happy, too! This includes paying them as quickly as possible after your PO is issued to assure they’ll start on your order right away.

Step 8. Close Your Purchase Order

When you decide to close a PO is up to you. Some designers choose to close the purchase order once the item or items have been confirmed, while others close the PO after shipping or installation. Do whatever you feel is best for your process and business.
